This policy explains how the organisers of the Amport Summer Fete (“we”, “us”) collect and use your personal data when you buy tickets, volunteer, or otherwise interact with our website at tickets.amportvillage.org.uk. We comply with the UK GDPR and the Data Protection Act 2018.
Who we are

What we collect
When you buy tickets, we collect:
- Your name (the lead booker)
- Your email address
- Your phone number (optional)
- The tickets you have purchased and the amount paid
We do not collect or store your card details.Payment is handled entirely by SumUp, an FCA-regulated payment processor — your card information is entered on SumUp's page, never on ours.
If you fill in our volunteer or donations form, we additionally collect any information you give us in those fields (e.g. which activities you're interested in, any message you send us).
Our website does not currently use analytics cookies or tracking pixels. Essential functional cookies (e.g. to keep you logged in if you have admin access) may be set.
Why we collect it (legal basis)
We process your data for the following reasons:
- To fulfil our contract with you:we need your name and email to confirm your booking, manage admission on the day, and contact you if there's a problem with your tickets.
- To comply with our legal obligations: we keep basic transaction records for accounting and (where applicable) tax purposes.
- Our legitimate interest: to run the event safely and respond to volunteer offers.
We do not use your data for marketing, and we will not send you unrelated emails.
Who we share it with
We use a small number of third-party services to operate the website. Each receives only the data necessary for its function:
- SumUp (payment processor, UK/EU). Receives your name, email, and payment amount to process the card transaction. SumUp's privacy policy.
- Resend (email delivery, US/EU). Receives your email address and the contents of the confirmation email. Resend's privacy policy.
- Vercel and Neon (hosting / database, US/EU). Store the booking record on our behalf.
We do not sell your data, and we never share it with third parties for marketing.
How long we keep it
We keep booking and volunteer records until the end of the financial year following the event (in practice, until around April 2027), to allow us to settle accounts, process any late refunds, and produce committee reports. After that, records are either deleted or anonymised.
Transaction records held by SumUp are kept for the periods required by their own regulations (typically several years for AML/financial reporting).
Your rights
Under UK GDPR you have the right to:
- Ask what data we hold about you (subject access request)
- Ask us to correct anything that's wrong
- Ask us to delete your data (subject to our legal record-keeping obligations)
- Object to or restrict our processing
- Receive a portable copy of your data

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office: ico.org.uk.
Changes to this policy
We may update this policy from time to time. The “last updated” date at the top of the page reflects the most recent change. Material changes will be announced on our website.
